Role Summary:

Experience as a Conveyancing Officer/Sales Progression Officer in Dubai is required.
Driving license is a must.
Available to start immediately.
To take overall responsibility for progression of all property sales promptly and efficiently from reservation to transfer stage of property, and liaise with seller, buyer, lenders, agents and Governing agencies to obtain relevant documents required and attending to their requirements.
Key Accountabilities:
- Handle all enquiries from sellers or purchasers with regards to their transaction
- Send the buyer/seller welcome email, followed up by an introductory phone call, explaining what sales progression is and how the sales progression officer will be supporting throughout the entire process
- Coordinating with the clients via telephone and emails throughout the whole process, maintaining professionalism and etiquette throughout the collaboration with the clients
- Informing all parties involved the required documentation and the duties needed to be settled before applying for the NOC, ensuring all documentation is correct
- Update all relevant parties (including seller and buyer) on due payments and send periodic reports
- Ensure all activities are prioritized upon raising aspirations, providing an excellent service to customers and meet their individual needs
- Provide a comprehensive explanation to the seller and buyer for the whole entire process, including NOC requirements for the application and the final stage of the Transfer
- Attending and supporting all NOC applications and Transfers with the clients, oversea the whole procedure, providing all the relevant documents on the client’s behalf’s
- Liaise with all parties including seller, buyer, sales advisors, tenants, solicitors, financial institutions, property valuators and Developers, Trustee Offices to ensure smooth and quick completion of sales transactions
- Coordinate with buyer/seller/banker their availability for evaluations of the property, NOC and Transfer appointments, then scheduling an appointment at the Developers/ Trustee Office
- Achieve set sales targets and ensure properties are transferred efficiently
- Coordinate with all related authorities, including but not limited to Developers, agencies, finance institutions, Government Bodies, and utility providers in order to obtain certificates or letters required for smooth transaction
- Handle effectively all administrative documents related to sales once signed MOUs are obtained from both parties
- Checking legal documents such as POAs, ensuring they are valid for the property transaction
- Ensure all documentation is processed in accordance with set policies and procedures of the company and prevailing rules and requirements of Developers, Dubai Land Department
- Collect relevant fees (deposit cheque, NOC fees, Sales Progression Fees) from buyer/seller
- Provide breakdown for the payment schedule to buyer/seller that must be prepared for the final transfer, including all admin fees required from the Trustee office, instruct the buyer/seller to prepare “Manager’s Cheques” for the agency commission/ Dubai Land Department fees, as well as any service charges to be reimbursed to the seller from the buyer, rental deposits and annual rent to be reimbursed to the buyers.
- Organize transfer; provide security deposit cheque back to buyer/seller, obtain acknowledgement receipt and receive payments and provide receipts
Job Description:
- Obtain and maintain receipts from Dubai Land Authority to ensure all payments have been made by the buyer, on the date of the Transfer
- Act as the main point of contact for the buyer/seller/lender throughout the whole process leading up to the NOC and transfer, and ensure all queries are answered effectively and efficiently
- Ensuring the finance buyers are obtaining a final offer letter from their bank. Ensuring the financed seller is obtaining liability letter from their bank. Coordinating for the sellers outstanding mortgage lender to be discharged by the buyer before the NOC application
- Maintain the case sheet through which each step of the purchase process can be identified, managed and reported
- Provide weekly reports to Head of sales progression
- Ensure sales progression data is accurately captured on the CRM/Share drive
- Ensure compliance at all times with company rules, values, policies, procedures, standing orders and financial regulations
- Represent Provident in a professional and ethical manner, and maintain the highest standards of personal and professional integrity and conduct
- Deal with any unforeseen obstacles in a quick efficient manner
- Keeping clients satisfied at all times including handling any problematic circumstances that may occur
- Coordinating with the drivers to collect cheques, money, signed documentation from the clients
